The Executive Director leads Toronto’s First Post Office and the Town of York Historical Society, overseeing museum operations, public programming, and the postal and retail services. This role is responsible for driving the strategic direction of the organization, ensuring financial sustainability, and fostering meaningful community engagement. The Executive Director reports to the Board of Directors and is the primary representative of the organization in external relationships.
Key Responsibilities
Leadership & Strategic Planning
● Lead the implementation of the organization’s strategic goals and vision in collaboration with the Board of Directors.
● Oversee the day-to-day operations of the museum, post office, and retail services, ensuring operational efficiency.
● Provide leadership and support to staff, including recruitment, professional development, and performance management.
● Foster a positive, inclusive work environment, ensuring compliance with all relevant regulations and organizational policies.
Financial Management
● Develop and manage the annual operating budget, providing monthly updates to the Board.
● Oversee all financial processes, including payroll, accounts payable, and grant administration.
● Lead fundraising efforts, including grant writing, donor relations, and sponsorship initiatives, ensuring diverse and sustainable revenue streams.
● Monitor and report on the organization’s financial health and ensure proper stewardship of resources.
Community Engagement & Public Programming
● Lead the development and execution of innovative public programs that enhance community engagement and broaden the museum’s impact.
● Act as a spokesperson for Toronto’s First Post Office, representing the organization at events and within heritage and cultural networks.
● Build partnerships with local cultural institutions, schools, and community groups to expand the museum’s reach.
Fundraising & Revenue Development
● Oversee retail operations, ensuring effective inventory management and marketing.
● Identify and secure new funding opportunities through government grants, private donations, and corporate sponsorships.
● Lead membership development efforts for the Town of York Historical Society, ensuring effective communication and engagement with members.
Digital Strategy & Innovation
● Lead efforts to enhance the museum’s digital presence, including online programming, virtual exhibits, and e-commerce initiatives.
● Stay abreast of industry trends in digital engagement and visitor experience to keep the museum relevant and accessible.
Board Relations
● Provide monthly financial and operational reports to the Board of Directors.
● Support board members in fulfilling governance responsibilities and assist with the onboarding of new members.
● Ensure compliance with legal, charitable, and fiduciary obligations.
Qualifications
- Bachelor’s degree in a relevant field (e.g., History, Museum Studies, Business, Non-Profit Management); advanced degree preferred.
- At least 5 years of experience in a leadership role, preferably within a non-profit, museum, or cultural institution.
- Demonstrated experience in financial management, fundraising, and grant writing.
- Strong leadership, communication, and interpersonal skills with the ability to manage and motivate a team.
- Experience working with a Board of Directors and supporting governance functions.
- Familiarity with museum operations, collections management, and public programming is an asset.
- Proficiency with digital tools and platforms for marketing, fundraising, and visitor engagement.
