POSITION SUMMARY:
The Project Specialist, Exhibitions and Galleries organizes, administers, and issues reports for content-generating activities that support visitor-centered development for exhibition and gallery ideation, proposals, design, and interpretation. Working with the SVP Exhibition Development and SVP Exhibition Planning, this position facilitates annual Gallery Project updates and works closely with project managers, the interpretation team, Audience Insights, and others to enable activities such as advisory and community consultation meeting coordination, communications, and reporting. This position participates in key strategic initiatives relevant to ROM’s exhibition program and manages daily operations and administrative responsibilities related to content-generating activities.
RESPONSIBILITIES:
- Consolidate and maintain protocols with constant updates for changing practices and new learnings.
- Coordinate interdepartmental and external communications, contracts, honoraria, participant travel, and meeting setups (on-site, off-site, and virtual) for community advisory meetings.
- Organize, administer, and issue reports for content-generating activities for consultations and workshop activities for exhibition and gallery ideation, proposals, design, and interpretation.
- Coordinate the development and maintenance of interpretive planning and design standards, exhibition databases, and digital-IP support.
- Issue calls for proposals, organize reviews, manage workflows and schedules, and coordinate team activities toward completion for gallery projects and rotations.
- Manage administrative responsibilities, including scheduling, meeting coordination, supplies procurement, file and group access management, budget tracking, and exhibition schedule maintenance.
QUALIFICATIONS:
- A minimum of a three-year (3) college degree or a university degree in a business or culture-related program, or equivalent experience and education.
- At least five (5) years of experience managing and coordinating programming or exhibition content.
- Proven experience in developing reports and distilling key research insights for various stakeholders.
- Excellent judgment and strong analytical skills.
- Demonstrated experience in developing workflows, budgeting, and exercising budgetary control.
- Strong interpersonal skills and the ability to work with cross-departmental colleagues.
- Ability to sensitively manage relationships with diverse community members.
- Understanding of DEAI principles and competencies applicable to supporting the development of exhibition content and culturally responsive practices.
- Proficiency with Excel, PowerPoint, SPSS, related database software, and web-based survey administration (e.g., SurveyMonkey, MS Forms).
- Non-English language proficiency is considered an asset.
